The Program Assistant Position is designed to give applicants exposure to the administrative aspects of a Recreational Sports Unit and diversify their experience as they explore a potential career path in Campus Recreation. This position will primarily assist with day-to-day operations and provides the exposure necessary to allow for a more informed transition to a Graduate Assistant position within the field.

Administration
Prepare materials and assist with approximately 10 Officer Trainings and 10 Safety Lead Workshops annually, training nearly 200 individuals in each role
Use BeInvolved (Campus Labs) to review and process club travel forms, facility requests, and certification registrations
Develop the Club Sport practice schedule for given semesters and/or breaks based on club requests
Assist Club Sports Federation Executive Board in the creation of agendas for weekly and monthly meetings, facilitate discussions, and provide feedback with the assistance of the Assistant Director
Work alongside Club Sports Federation Marketing Committee to develop and organize marketing strategies for Club Sports
Organize club events by creating and maintaining a master Excel document of all club events, reserve equipment, create memos for staff working the events, and invoice clubs for event staffing
Prepare for and conduct Mid-Semester meetings with assigned club sports
Prepare meeting and training materials for CLB/IM Assistant and Head Supervisors at the beginning of each semester, as well as biweekly morning staff meetings
Provide evaluation of Head Supervisor and Assistant Supervisors on a regular basis
Recruit, train, motivate, schedule, and recognize student staff and/or club leaders
Assure high-quality service by maintaining relational contact with program participants, responding to comments and suggestions, and recruiting for Club Sports Federation leadership roles
Be a positive role model and mentor to club officers and fellow employees, provide enhanced relational service to all participants
Attend required annual Recreational Sports staff training and periodic in-service training
Provide exceptional relational service
Give constructive feedback to Unit Administration about CLB/IM policies & procedures p. Solicit participant feedback for program enhancement
Assist with the creation of monthly roster templates for each club
Utilize box for posting of monthly rosters and other information, as needed
Facility Assistant Manager
Work at least 5 hours per week on nights and/or weekends as the facility Assistant Manager Required to work at least 1 week during a semester break each academic year (Thanksgiving, Winter, or Spring)
Monitor and provide feedback concerning the performance of all hourly wage staff members assigned to your shift. Note outstanding performance, challenges, and disciplinary action taken.
Monitor and provide feedback about all programs and services. Note successes and concerns with recommendations for improvement.
Serve as a resource for all hourly staff and as the supervisor on duty for hourly student employees, providing guidance and assisting with problem-solving.
Assist the Risk Management First Responder as requested during all accident and incident responses within designated Recreational Sports facilities.
Serve as the primary point of contact for the On-Site/On-Call Professional Staff and ensure proper completion of various reports.
Serve as a role model and mentor to hourly staff, provide enhanced relational service to all participants, and stay informed about Recreational Sports information, events and policies.
Supervise all hourly staff while on shift, including troubleshooting no-shows
Conduct door checks for record-keeping and risk management purposes
Interact with participants to provide friendly, knowledgeable, relational service
Open and close both the Student Recreational Sports Center and the Intramural Center
Perform other duties as assigned as the on-shift supervisor

Administration

Organize, implement, evaluate, and document assigned sports.

Identify target-market and develop strategies.
Promote Intramural Sports throughout the campus.
Utilize personal selling to recruit participants and employees.
League set up and management of assigned sports.
Prepare and distribute surveys for participants and employees for assigned sports.
Personnel
Provide evaluation of Head Supervisor, Assistant Supervisors, and Evaluators on a regular basis.
Recruit, train, motivate, schedule, and recognize student staff and/or volunteers.
Ensure student employees have completed proper payroll forms.
Inventory of equipment before and after assigned sports.
Handling of disciplinary points, mid-semester monitor, and semester assessments under the direction of AD.
