Xavier University Recreational Sports Departments seeks a Club Sports Coordinator who is responsible for management of the club sports program, which includes approximately 26 clubs and 600 student athletes annually. The coordinator serves as the advisor to the Club Sports Council and Sport Club executive officers, providing guidance and support for the teams and individual members. The coordinator reports to the Assistant Director of Recreational Sports and contributes to overall departmental planning and success.
Duties and Responsibilities:
Advise the Club Sports Council, including providing leadership training and personal development
Provide on-going support to sport club team officers and members
Develop and administer policies and procedures necessary for the efficient, safe operation of the Club Sports Program.
Oversee facility usage and equipment inventory and purchase for the program.
Ensure club compliance with university and student organization related policies and procedures, especially travel, fundraising, and alcohol and other drugs as well as departmental certifications.
Develop proposals for long-range plans and policies/procedures for the program.
Plan and supervise the execution of publicity and promotional materials.
Monitor all club sport budgets, including annual budget forecasts, student activity fee requests, fundraising activities, and appropriate and efficient use of clubs sports donations and budget allocations. .
Organize and supervise departmental-sponsored clinics and special events.
Stay abreast of all tort and liability cases dealing with clubs. Negotiate contracts, assist in schedules and help coordinate travel arrangements for teams.
Identify potential donors and coordinate solicitation with the Development Office.
Conduct periodic reviews and evaluations of the program and services, including student learning assessment.
Maintain an up-to-date Club Sports Handbook detailing all information concerning club, governance, safe operation, and competition, budget control, liability, etc.
Organize regular Club Sport Council meetings as well as bi-weekly club officer meetings to ensure the dissemination of pertinent information to all clubs.
Maintain active participation in departmental and University committees.
Maintain active participation in national associations by obtaining committee assignments, presenting at state, regional, and/or national conferences, and publishing articles.
Maintain up-to-date knowledge of literature in areas of job concentration.
Attend training conferences and events.
Serve as a representative of the Recreational Sports Department and Division of Student Affairs.
The successful candidate will possess a Bachelor’s Degree with one to three years of experience in Campus Recreation, Student Affairs or related area. Graduate Assistantship and internship will be considered as relevant experience.
Willingness to obtain First Aid/CPR/AED Certification and Instructor Certification
Proficiency in MS Word, Outlook, and Excel
Master’s Degree in Sports Management or Related Field
Experience with risk management, fiscal management and student development
First Aid/CPR/AED/Certification or Instructor Certification
Banner Software System Experience
Facility Software Management Experience
