KU Recreation Services is excited to announce we are now accepting applications for our Operations Coordinator position!

Anticipated start date is July 19, though official start date is negotiable.

Job duties for this full-time position include but are not limited to the following:
Responsible for all aspects of Membership Operations within the Department: 40%
Responsible for recruitment, hiring, training, supervising, evaluating, scheduling, payroll, and discipline of student staff.
Responsible for communication with current/past members regarding memberships and member retention.
Develops and coordinates membership services policies and procedures in accordance with established guidelines.
Responsible for accounts receivable activities for membership including welcome letter to members outlining benefits and services, phone calls, email inquiries, etc.
Manage locker sales and service including semester locker expirations and clean-out.
Manage automated email module within recreation software for expiring memberships, locker rentals and other defined services.
Reconciles cash/credit card reports and submission of revenue deposits to the shared service center daily.
Construct, review, and revise staff manuals, policies, and procedures.
Oversee the development and maintenance of annual budget of approximately $40,000.00.
Completes audits of change funds and business functions.
Coordinate projects from full time staff to student Membership student staff (PowerPoint, spreadsheets, etc.)
Manages internal invoices to coordinate with University process.
Provides weekly/monthly overview reports of numbers and revenue for each type of membership.
Coordinate Special Events: 20%
Responsible for daily/weekly monitoring of all internal/external reservations in facility reservation software
Responsible for first point of contact for groups/individuals wanting to host Special Events in any Recreation Services facility
Add events to facility schedule in software.
Conduct on-site meetings with Sr Coordinator of Operations and group contact(s) to discuss needs of the event: staffing, equipment, custodial, etc.
Create invoice for event and distribute through University channels.
Attend beginning of “major” events, such as Sport Club tournaments, AAU tournaments, Relay for Life, etc. to ensure everything is running properly.
Serve as a part of the Facility Management Team: 20%
Orders office supplies and equipment
Maintains office equipment, such as multi-functional devices, KU IT ticket submission, etc.
Manage lock database for all door code requests of employees.
Manages student staff shirt uniform distribution.
Manages budgets for shredding and multifunction devices.
Coordinates staff training, checkout, inventory, and maintenance of 2-way radios for internal staff usage
Manage key inventory for University and KU Recreation Services allocations
Manage facility projects/repairs as assigned.
Coordinate University Outreach: 10%
Collaborate with Marketing Coordinator to create marketing materials to present at University department meetings about the benefits of a KU Recreation Services membership
Schedule and deliver presentations to KU departments 2-4 times per month.
Create tracking system of new members from these meetings as well as members that do not renew.
Set soft internal monthly/annual goals for membership additions and cancelations.
Create and deliver membership reports based on sales and revenue generation.
Oversee all non-fitness inventory under $5,000: 5%
Add/delete inventory as it is purchased throughout the year.
Conduct annual inventory assessment and create inventory tracking program within Connect2 software.
Coordinate disposal/resale of broken/unused/outdated equipment through proper University channels
Other duties as assigned: 5%
Participates on university committees, work groups, internal projects, etc.
Manages organization of monthly potluck lunch with professional staff.
Manages departmental travel logistics with conferences, seminars, workshops, etc.
The person in this position is responsible for knowledge of and compliance with Board of Regents, University policies and NCAA rules and regulations regarding day-to-day job related activities applicable to the position that could involve contact with student athletes.
This position will work an average of 8 hours a day, 40 hours per week, Monday through Friday, typically 900a-600p with opportunities for flex scheduling upon mutual agreement with immediate supervisor. Position will also work some morning, late night, weekend, and holiday hours when necessary.
Incumbent will become a certified CPR Instructor within first six months of hire date.
High School Diploma; or GED equivalency and two years of office experience; or two years of post-secondary education.
Excellent written communication skills as evidenced by the application materials.
One year of experience working in a fast pace, high traffic environment as evidenced by work history.
One year of professional experience using Microsoft Office products
Bachelor’s degree in Recreation, Sports Administration, Health/Physical Education, Exercise Science or related field.
Master's degree in Recreation, Sports Administration, Health/Physical Education, Exercise Science or related field.
Experience working in and/or creating an environment that acknowledges, encourages, and celebrates diverse social identities.
Experience in facility management of high traffic environments
Experience with a point-of-sale process
Experience with cash-handling and deposits of financial transactions
Experience supervising staff.
Knowledge in recreation management software such as Innosoft Fusion, CSI or RecTrac, etc. for program registrations, point of sale, scheduling, and facility access.
Experience in facilitating staff development through training, meetings, etc.
Professional involvement in National Intramural-Recreational Sports Association (NIRSA), or related organization.
Current CPR and AED Certification
