The Department of Recreational Sports at Oregon State University is seeking a Sport Programs Coordinator. This is a full-time (1.00 FTE), 12-month, fixed term professional faculty position.
The Sport Programs Coordinator directs the administration and supervision of comprehensive Sport Programs that includes sport clubs and intramural sports. These programs are designed to enhance the wellness, leadership development, and participant connection to the campus community through structured sports, events, and general recreation activities. This position reports to the Assistant Director of Sport Programs and works collaboratively with fellow Sport Programs staff with shared oversight of 175 student employees, 40-sport club teams with over 1,800 participants, over 50 intramural leagues and events with over 10,000 participants annually, and events in partnership with other units that support student retention and success.
40% SPORT CLUBS
Coordinates the administration and advising of the Sport Club Program that includes a diverse offering of student sport club teams. Works in partnership (facilitator model) with student leaders and clubs to successfully implement sport club activities while adhering to university, department, and national governing body policies, procedures, and safety/risk management regulations. Develops, coordinates, implements, and evaluates outcome based leadership trainings for sport club leaders, members, and coaches. Reviews, reports, and approves sport club financial accounts, including budget development, purchase requests, payments, sponsorships, fundraising, donations, and gift-in-kinds. Reviews and submits sport club contracts, agreements, and permits for approval through university AABC SEC Finance and Procurement and Contract Services. Submits and schedules annual/quarterly sport club team activity schedules including facilities, equipment, marketing, and maintenance. Coordinates, advises, and approves club activity including practices, games, tournaments, events, and travel. Reviews and approves sport club marketing/promotion in conjunction with department and university marketing/branding guidelines. Administrates and maintains online sport club database registration and management of membership, activity, equipment, coach information, reports/evaluations, marketing/promotion requests, budget/sponsorship requests, and awards.
30% INTRAMURAL SPORTS
Develops, implements, and coordinates an Intramural Sports Program, including a diverse offering of individual/dual and team sport activities that meet participant needs, skill levels, and safety/risk management guidelines. Provides coordination and oversight of intramural leagues and events, including activity implementation, officials training, and participant conduct. Develops and schedules annual/quarterly intramural activity schedule including facilities, equipment, marketing, and maintenance. Coordinates the organization of the intramural registration process and manager’s meetings. Administers and maintains recreational management software (IMLeagues) that supports league, activity, participant, and management, as well as official and game scheduling. Coordinates, maintains, and schedules Sport Club and Intramural Sports social media web site content.
Hires, trains, schedules, supervises, assigns work, and evaluates student personnel including graduate assistants, student staff (senior sport program associates, sport program associates), and practicum/internship students. Provides supervision oversight of approximately 150 student sport officials and 35-40 volunteer sport club coaches. Coordinates, implements, and evaluates outcome based developmental trainings and meetings for student staff and sport club coaches.
5% SPORT PROGRAM OUTREACH
Coordinates efforts to develop and establish relationships with colleagues within the department and across campus to support student engagement and wellness and leadership opportunities that enhance the Sport Programs (i.e. Center for Fraternity and Sorority
Life, New Student Programs and Family Outreach, Residence Life Community, Student Leadership and Involvement, etc.).
5% GENERAL ADMINISTRATIVE RESPONSIBILITIES
Participates in the development of department strategic planning in areas of programs, personnel, department policies, budgets, and facilities and risk management. Participates in meetings, committees, work teams, and activities with university organizations and/or Recreational Sports in the promotion and advancement of the Department of Recreational Sports and Sport Programs. Responsible for assisting in the development, implementation, compilation and management of Sport Programs budget, strategic and assessment plans, and quarterly/annual reports.
Bachelor’s degree in Sports or Recreation Management, Business Administration, College Student Services Administration or related field.
One (1) year of professional experience in the administration and implementation of intramural sports, sport clubs, recreational or student activity programs and events, and/or related field. A two year graduate assistantship counts as one year of professional experience.
Demonstrated experience, knowledge, and ability in sport league management, including game and facility scheduling, staff management, and program evaluation.
Demonstrated experience, knowledge, and ability in student supervising, advising, training/development, and evaluating of student employees, sport club officers, and/or practicum/interns.
Demonstrated experience, knowledge, and ability in event management including the organizing, coordinating, mitigating risk, implementing, and evaluating of sport programs and events.
Excellent written and oral communication skills.
Master’s degree in a field appropriate to the work.
At least two (2) years of professional experience in the administration and implementation of a collegiate Intramural Sports Program.
At least two (2) years of professional experience in the administration and implementation of a collegiate Sport Club Program.
Demonstrated experience, knowledge, and ability to hire, train, supervise, and evaluate sport officials.
Demonstrated financial management experience including budget development and reporting.
Demonstrated experience in contracting, procurement, and insurance.
Demonstrated experience, knowledge, and ability with online data and scheduling management system in supporting student organizations and/or sport leagues/activities.
Additional Salary Information: Starting salary within the salary range will be commensurate with skills, education, and experience. Anticipated starting salary $48,000 - $51,000.
