The Reservation and Events Coordinator will be charged with developing dynamic and engaging interactions with patrons, potential clients and a variety of university groups to engage them in our facilities and develop a retention of users. Ohio University Campus Recreation is seeking a strong and confident leader with experience working in a fast-paced, team orientated environment that thrives on new challenges. This position will provide a direct oversight to the reservation and scheduling process of each of Campus Recreation’s five facilities to ensure consistent and exceptional service while providing a quality experience and promoting a safe and inclusive environment. In addition, this position will work closely with all Campus Recreation professional staff to communicate customer feedback and provide suggestions based on patron engagement, user experience, and facility usage.
Additionally, this position will assist the department in delivering a fully integrated recreation experience that elevates the transformative impact of Ohio University while providing quality, inclusive recreation experiences designed to positively impact the intellectual and personal development of OHIO students and the vitality of the OHIO community. The Reservation and Events Coordinator provides leadership and direct oversight to the scheduling process to ensure we are creating a culture of community and providing continued engagement in each of our recreational facilities at Ohio University. Event/Reservation Management & Communication: Serve as primary point of contact, provide outstanding customer service and perform administrative duties related to facility scheduling and reservations for all OHIO Campus Recreation facilities. Work with facility and program staff to accommodate scheduling requests and data input utilizing scheduling software. Complete all necessary reservation paperwork and software entries related to university special events and general community rentals. Promote facility reservations opportunities and partner and collaborate with internal and external patrons including, but not limited to, Intercollegiate Athletics, Club Sports, Intramural Sports, Academics, Event Services, student organizations, the Division of Student Affairs and other community groups. Develop and oversee relationships, facilitate communication and resolve conflict involving events, patrons and Campus Recreation staff. Understand, develop and enforce departmental and institutional policies and procedures related to event reservations and scheduling to ensure continuous compliance. Provide special event coverage when necessary.
Technology: Lead the department as the main contact and administrator for scheduling software and reservations. Utilize reservation system and collaborate with the Campus Recreation business operations staff to ensure billing and invoices are accurate, clearly communicated and delivered promptly to customers. Accurately compare Fusion records to ensure all invoices are distributed and accounts are paid. Troubleshoot basic issues related to facility scheduling that allows employees and patrons to effectively incorporate online reservations and services into the customer experience. Develop contingency plans for the continual operation and positive service experience in relation to rentals and reservation in the event of a technological failure.
Data & Assessments: Evaluate and analyze rental usage and cost based on data, assessments and reservation reports. Develop reservation structure, rates and identify opportunities for growth and recommendations for improvement based on customer feedback and reports. Provide data usage for semester and annual reports. Support and lead efforts to create a culture in which data and information are both valued and utilized for reporting and decision-making. Analyze process flows to identify barriers and inefficiencies in our reservation process to ensure a high-quality customer experience.
Teamwork and Inclusion: Recruit, hire, supervise and train student staff to assist with reservation support, event set-up, tear down and organizing associated equipment. Provide leadership and guidance, promoting teamwork, accountability and integrity. Develop and maintain working relationships that positively influence and motivate staff. Student Affairs: Actively contributes as a staff member of a department and Division that upholds the framework of equity and social justice. Serve as an active contributor, provide leadership, promote collaboration and facilitate effective communication across the department, the division, the university and campus/community partners. Provide representation for department, division, and/or university committees and projects. Maintain current knowledge of the University, its environment, purpose and affairs to be prepared to respond to appropriate issues.
WHAT ARE WE SEEKING?
Bachelor’s Degree in Communications, Business, Recreation Studies or related field
1-2 Years of Experience in Event Planning, Recreation Scheduling, or related field 1-2 Years of Supervisory Experience
Experience with recreational scheduling software (ex. InnoSoft Fusion) and/or event scheduling and management software preferred
